You may have some questions that arise when planning your big day. Please find below a list of frequently asked questions to help you. If your query is not answered below, please contact our team who will be more than happy to assist you.


Use of external caterers

Queen Mary does not allow external caterers on site; however, our in-house Restaurants & Hospitality QMUL team will be delighted to provide the catering for your big day and will be happy to discuss any specific requirements you may have. Special dietary requirements

If you have guests with special dietary needs this will not be a problem, our Catering & Hospitality team will be more than happy to cater for any dietary requirements you and your guests may have wherever possible. To ensure we can provide the most, please give us as much notice as possible.

Wedding menu tasting sessions

We want to ensure you are completely happy with the food choices you have made, so our caterers will be more than happy to prepare some samples of your chosen dishes for you to try prior to the big day. Please ask our our team for more information.

Corkage for wine/champagne/beer

You are more than welcome to bring your own wine, champagne, spirits and beer with you, we just require a corkage charge:

  • £10 per bottle of wine
  • £15 per bottle of champagne/spirit
  • £10 per case of 24 beers.

We do have an extensive wine list available via our in house Restaurants & Hospitality Service, please ask our team for more details.

Minimum and maximum guest numbers

Due to the size and nature of our venue, we would recommend that wedding parties consist of a minimum 100 guests. If your wedding party is likely to be less than 100, please contact a member of our team to discuss your requirements.

The Octagon can accommodate up to 220 guests for a seated meal.

Local accommodation options

During the summer months (mid June to mid September) we are able to offer single ensuite accommodation on campus. We are able to block book our accommodation so that your guests can stay close to one another. Please contact our our team to discuss availability. 

Venue curfew

The venue can be booked until midnight on the day. If you require early access to the venue to enable set-up, please contact our our team who will be able to arrange this (this may incur an additional charge).

Parking

There is limited parking available at weekends and weekdays after 17:00 on site. Access to the car park is via the Westfield Way entrance at the East of the campus. Queen Mary is well served by public transport, so if your guests do not wish to drive, they may consider this as an alternative. Wedding ceremonies license

We are able to host civil ceremonies in our Senior Common Room venue.

Wedding music

We can provide you with the facility to play music via a CD or MP3 player. Please contact our our team to discuss your exact requirements.

Exclusive use of venue

There may be other events taking place in different buildings on our campus, however; we would ensure that the areas booked for your wedding reception are for exclusive use by you and your guests.

Confetti

Confetti may be thrown, but it must be biodegradable so please ensure that you notify your guests in advance.

Candles

It is possible to use candles as part of your decor as long at the naked flame is not exposed, please discuss this with the our team who will be able to advise further.

Additional sitting/quiet areas

A nearby room can be provided for an additional charge. Please contact our our team who will be able to advise you on different options we have available.

Early access for set up

Wherever possible we will give you plenty of time to setup, please liaise with our our team who will be able to assist.

Cake stand & knife

We are able to provide a cake knife and a clothed table on which to display your wedding cake.

Cash bar

We are able to offer a limited cash bar in the Octagon itself. A bar guarantee of £500.00 is required in advance.

Dancefloor

The polished wooden floor of the Octagon is ideal for dancing. When the room plan is designed, a dancefloor space will be allocated.

Acceptable wedding decor

You are welcome to dress the venue yourself or by using a 3rd party supplier but please discuss this with our our team to ensure that the items required are suitable for the venue (e.g. how they will be attached or fixed and any setup time required).

Payment

Invoices will be raised for all payments. Payment can be made by cash, cheque, credit card or bank transfer. Payment terms can be found in our terms and conditions.

Access to Wedding Coordinator

A dedicated member of our team will be with you every step of the way to ensure that your big day is perfect. They will support you from your initial enquiry right up to the big day itself.

Photography

The campus has a variety of locations providing stunning backdrops for your wedding photos, from the stunning Queens’ Building Lawn in front of the elegant Victorian clock-tower to the beautiful Regent’s canal towpath and lock. There is also a balcony area in the Octagon available.

Table plan

We can provide an easel (stand) for your table plan which will be displayed at the entrance to the Octagon. If required a second one can be provided in the reception area for guests to refer to before moving through to the Octagon for their meal. Our team will discuss this with you when planning your big day.

Microphone for speeches

We will provide one handheld microphone for use on the day.
